When you fill out a form on our website (demo request, free tier waitlist, contact form, newsletter signup), we collect the information you submit. This typically includes your name, email address, company, role, phone number (optional), and any message you send us.
When you become a customer and use our products, we collect information necessary to provide those services. This includes account credentials, billing information, and any data you choose to send through Kairos as part of using the product.
1.2 Information collected automatically
When you visit our website, we automatically collect limited information about your browser and device, including IP address, user agent, referrer, and pages visited. We use this information to operate the site, identify and prevent abuse, and understand traffic patterns.
We use minimal cookies. We do not currently use third-party advertising or tracking cookies. Some essential cookies are required for forms and authentication to function.
1.3 Information from sales calls (when using Kairos products)
Kairos products process sales call audio and transcripts on behalf of our customers. The customer is responsible for obtaining appropriate consent from call participants. We process this data only for the purposes of providing our services and do not use it to train AI models.
2. How we use information
We use the information we collect to:
- Operate and improve our website and products
- Respond to inquiries and provide customer support
- Process subscription payments and account administration
- Send transactional and operational communications
- Send marketing communications when you have opted in (you can unsubscribe at any time)
- Detect, prevent, and respond to fraud, abuse, and security incidents
- Comply with legal obligations
3. How we share information
We do not sell your personal information. We share limited information only as described below.
3.1 Service providers
We use third-party service providers to operate our products and services. These providers process information on our behalf and are bound by contractual confidentiality obligations. Current providers include:

- Beehiiv - Email newsletter platform
- Supabase - Database and authentication infrastructure
- Anthropic - AI inference for real-time guidance generation
- Vercel - Web hosting and deployment
- Sentry - Error monitoring and observability
- Clerk - Authentication and account management (when product is live)
- Recall.ai - Meeting bot infrastructure (when product is live)
- Deepgram - Real-time speech transcription (when product is live)
- Twilio - SMS delivery (when product is live)
3.2 Legal requirements
We may disclose information when required by law, valid legal process, or to protect our legal rights, the rights of others, or the integrity of our services.
3.3 Business transfers
If Kairos is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.

We retain personal information for as long as necessary to provide our services and meet our legal obligations. Specific retention periods:
- Form submissions: Retained indefinitely as part of our customer relationship management. You can request deletion at any time.
- Sales call audio: Per-tenant configurable. Default retention is no retention (audio is processed in memory and discarded). Tenants may opt into 24-hour, 7-day, or 30-day retention.
- Account data: Retained for the duration of your customer relationship plus a reasonable period to handle disputes and comply with legal obligations.
- Newsletter subscribers: Until you unsubscribe.
5. Your rights
Depending on your jurisdiction, you may have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your information
- Request portability of your information
- Object to or restrict certain processing
- Opt out of marketing communications
